Serialized Inventory

Serial templates define custom attributes that apply to every unit of a product. For example, an electronics product might track firmware version, color, and warranty expiry. A refurbished goods template might include condition grade, cosmetic notes, and battery health. Templates are reusable across multiple SKUs.

During receiving, each unit is assigned a unique serial number — scanned from the manufacturer barcode or auto-generated. The bulk receive screen lets you scan serials one after another with auto-advance, making it fast to process large shipments. Each serial item gets its own record with custom attribute values and optional photo attachments.

Every serial item has a dedicated detail page showing its current status, location, all custom attributes, condition notes, and attached photos. Staff can update the condition, add inspection notes, or attach new photos at any time. The detail page also links to the original PO receipt and any orders that have allocated this specific unit.

When an order contains a serialized product, the picking workflow requires scanning or selecting a specific serial number. The system can auto-allocate based on FIFO, condition grade, or location proximity. Once allocated, that serial is reserved and cannot be double-sold. The order record permanently links to the exact unit shipped.

The lifecycle timeline shows every event for a serial item: receipt, inspection, location moves, condition changes, order allocation, shipment, return, and repair. Search by serial number to instantly pull up the complete history. This is invaluable for warranty claims, customer disputes, and regulatory compliance.
